PAYROLL SPECIALIST, BARRIE, ON, CANADA – #5273

JOB DESCRIPTION:

The Payroll Specialist will be responsible for the full cycle payroll processing for both a Canadian and US workforce consisting of hourly and salary employees within a non-union, publicly traded environment.  The candidate will have strong financial acumen and analytical skills, and will provide support on payroll reporting, employee absence tracking, GL reconciliations, audits requests, and other general administrative requirements within the department. This position requires the incumbent to work primarily in an office (some remote work permitted) and will report to the Payroll Manager

  • Perform various bi-weekly payroll operational requirements for all employees within the organization including accurate and timely input of payroll data, payroll journal entries and tax remittances
  • Communicate with internal and external stakeholders including government agencies on payroll related requests
  • Manage submission of RRSP contributions to carrier
  • Issue ROEs
  • Review, analyze, and reconcile payroll and other payroll related data according to established timelines, standards, and procedures
  • Act as main point of contact and respond to initial and/or general payroll questions and issues for employees in a timely manner
  • Prepare required reports for Accounting/Finance such as headcount, overtime, and variable pay incentive programs
  • Develop and provide various reports for Managers using BI tool
  • Administration of time off tracking; updating as required for employee changes and reconciling with payroll systems
  • Work in conjunction with the HR team to maintain up to date payroll information and to ensure payroll changes are effectively captured in payroll system
  • Ensure compliance with both Canadian and US federal, provincial/state, and local legislative requirements by researching existing and new legislation; enforcing adherence to requirements; advising management on needed actions
  • Support year-end payroll requirements
  • Analyze and investigate any discrepancies and provide reports when necessary
  • Support internal and external audit requests related to payroll items and ensure compliance to internal SOX requirements/processes
  • Stay up to date on payroll legislation
  • Complete additional projects as assigned

QUALIFICATIONS: 

  • Post-Secondary Diploma/Degree in Finance, Business Administration, Human Resources, or a related program
  • Payroll designation (PCP) or working towards achieving it
  • At least 3 years’ experience in a payroll role in a mid to large sized organization
  • Experience using HRIS/payroll software (UKG/Ultipro or similar)
  • Multi-Provincial/State payroll experience required
  • Knowledge in multi-Provincial/State employment legislation in a payroll capacity across Canada and the US
  • Solid understanding of payroll requirements, remittance, and reconciliation
  • Must be able to prioritize work and meet deadlines, must be detail-oriented
  • Strong knowledge of MS Office Suite with advanced knowledge and experience using Excel
  • Experience using Smartsheet an asset
  • Demonstrate a high level of discretion including maintaining confidentiality and respecting privacy
